Every shoot, planned in one place

A booking is not a date in a diary — it is a venue, a crew, a shot list and a dozen things that have to happen before anyone picks up a camera. GalleryFlow keeps the whole shoot in one record: schedule it on a calendar or move it down a Kanban board, assign the crew, hang tasks and a production checklist off it, and build the day-of timeline everyone works from.

Calendar and Kanban, same data

See the month as a calendar when you are booking, and as a pipeline when you are chasing. Search, filter and restore soft-deleted shoots.

Crew find out when you assign them

Assigning a photographer notifies them in the app and by email. Nobody finds out they are working Saturday by opening the app on Saturday.

Tasks, checklists and a day-of timeline

Assign tasks with their own status, run a production checklist, and attach the brief, the permit or the venue plan to the event itself.

Subscribe from your own calendar

Each member gets a private feed URL for their shoots, which Apple Calendar, Google Calendar and Outlook can subscribe to.

Frequently asked questions

Can my team see their shoots in their own calendar app?
Yes — Settings › Calendar gives each member a private subscription URL, either for every shoot they can see or only the ones they are assigned to. It is one-way: GalleryFlow owns the booking, so editing it on a phone would fight the crew assignments. Apple refreshes often; Google polls external feeds on its own schedule, commonly every 8–24 hours.
Does the client get a reminder before the shoot?
A reminder goes to the client and every assigned crew member 24 hours before the start time, and only for shoots that are actually committed — an enquiry nobody has booked is not chased. Rescheduling a shoot re-arms it, so the old time is not the last thing anyone heard.
Can I control who sees which shoots?
Yes — roles decide it. Anyone with event access sees the studio calendar; without it, a member still sees the shoots they are assigned to, so a feed is never silently empty for someone rostered on Saturday.
